About a month ago, I sent out a posting to several listservs
regarding our Transcript Notation Experience Program
requesting information on what others of you are doing.
Several of you wanted to know what we found out. Below is a
summary of responses received of programs that have
some similar components to ours. THANKS TO ALL WHO TOOK
THE TIME TO RESPOND TO MY REQUEST.
Here is a brief description of our program to refresh your
memories. If you would like additional details on this
program please feel free to contact me at the addresses
and/or phone number listed at the end of this message.
Transcript Notation Experience Program:
The Transript Notation Experience is not part of a
co-curricular transcript. Rather, the experience is noted
on the academic transcript as nograded and noncredit. Co-op
programs which list co-op experiences as noncredit would
also fall into a category similar to the type of program we
are creating.

Transcript Notation Experience
Who Is Doing What?
Scott Mertes
Center Assistant, Career Development Services
University of Iowa
Each department sets minimum standards that the students
must meet (i.e. 2.5 GPA )... Our students are not required
to write an essay. Instead, at the beginning of their
internship, they complete a learning agreement that
specifies what duties he/she is expected to do. Then, at
midterm, the student is required to meet with a career
advisor to discuss his/her progress and fill out an
evaluation of their internship site... Upon completing the
internship/co-op, the student is give a non-credit notation
on his/her transcript.
Greg Simmons
Asst. Director, Internships
University of Maryland Baltimore County / Baltimore, MD
In our internship, co-op, service-learning, and
international work and service programs, we place over 1000
students annually. Each experiential program has an
assistant director (or coordinator) who is responsible for
student recruiting and development, employer development,
and student placement. When a student has obtained a
placement through the Center, the student is required to
enroll in a pass/fail, zero credit practicum. The practicum
allows us to help the student develop 3-5 realistic,
relevant learning objectives, participate in a mid-semest er
evaluation, and end of the semester evaluation process. It
allows me, as the administrator, to develop, place, and
facilitate internships, and leaves the academic piece in the
hands of the faculty.
Albert C. Cabral
Director of Internships
Nazareth College of Rochester / Rochester, NY
As part of our Professional Internship Program, students can
design their own internship--called an Independent
Internship. The learning contract signed by the site
sponsor, the student, the faculty advisor and approved by
the internship office; completion of the seminars and
reflective papers required of all interns; and both self and
supervisory evaluations at the end of the experience. The
experience appears on the student's academic transcript, and
it does receive cours e credit-- one course equivalent,
graded pass/fail.
We are designing a student development program built around
a transcript that the registrar will issue--separate from
the academic one, but similar format, college seal if
requested, etc. The program will go beyond the transcript,
however with the use of development advisors, reflective
seminars, and assessment of learning through psychometric
instruments and portfolios. Participation in this program
will be voluntary... We have applied for a FIPSE grant to
help kick-start the program.
Darwin V. Kysor Director,
Career Services Juniata College / Huntingdon, PA
At Juniata College we have a "internship transcript notation
program." Mainly transcript notation internships occur in
the summer, while credit internships occur during the
regular academic year. Our program is similar to what you
propose, except instead of a written paper, we currently
require that students make a formal presentation the
internship committee... This, however, is becoming kind of
cumbersome and we are exploring different alternatives. My
plan is to: 1) Have students meet individually with me for
"approval" of the experience. 2) Have students present in a
panel format to the freshman extended orientation class.
Becca Parks
Iowa State Universtiy
ISU has the availability for students to have COOP.0001
listed on their transcript (if the student takes no course
for academic credit). If credit is granted, then the course
number will be listed. A $25.00 fee is charged and billed
to the student for the COOP.0001.
Julie Swanson
Director, Field and Career Services
Beloit College / Beloit, WI
For a non credit internship, students must develop a
statement of purpose which outlines what position will be,
why they are doing the internship, what they hope to get out
of it and 5 related goals, the means for accomplishing
their goals and how they will evaluate their progress. Our
staff do a progress visit half way through the internship
(our student body is 1200 so we can do this and employers
appreciate theis the most) at the end of the experienc e
students do a reflective summary.
Bill Lee-Sammons
California State University-Sacremento
Last year the Student Activities office approved the
"Leadership in Community Service" addendum to the academic
transcript program. Students find worthy community,
non-profit placements, get their efforts verified through a
faculty member, and these experiences are noted on an
addendum to their academic transcripts...no grade and
flexible in hours, service performed, etc. They tried to
keep it that way to encourage participation among the
students.
Kim Johnson Bogart
University of Washington
...the University of Washington has several credit
mechanisms for students who set up internships in a manner
similar to the one you describe, including volunteer work at
an agency, and with a faculty sponsor, site supervisor, and
paper. Students can earn departmental credit in a number of
departments or general stduies credit, all ungraded
credit/nocredit and in most cases variable, 1-6 credits
based on the number of hours and size of paper/project.
Mount Holyoke College / South Hadley, MA
(info provided by Joyce Stern, Scripps College)
... the College awards official recognition to successfully
completed internships with a notation on the student's
transcript if it meets the following criteria: it has lasted
at least 240 hours, and culminates in a written performance
review (by whom, I don't know).
Laura Smidzik
Associate Director/Internship Coordinator
Hamiline University / St. Paul, MN
We do list non-credit internships on student's involvement
transcript (that is the name of our co-curricular
transcript). In order for the internship to be listed the
student must complete a learning contract, the minimum
number of hours (120 hours) and turn in evaluation forms.
They do not, however, create academic learning objectives
with a faculty member. Those are used only for credit
internships.
Here is a list of schools that, upon our initial investigation, may have similar
types of programs:
Univerity of Illinois-Chicago: Zero credit Co-ops.
Miami University: Zero credit Co-ops.
Clemson Univeristy : Zero credit Co-ops.
Kansas State University: Co-op listed on transcript with no course
number and no grade or credit.
Contact me if you have any questions or comments.
